Insurance Preview for New Staff

Welcome to Baylor! We’re glad you have decided to join us as a new staff member! An important part of your total compensation package at Baylor is your benefits package. Benefits offered at Baylor include medical insurance, dental plans, flexible spending accounts, retirement plan, paid vacation and holidays, tuition remission benefits and a wide-variety of other perks and services.

Please review the following BEFORE attending W.O.W.:

During your first few days as a Baylor staff member, you will need to make some decisions regarding your insurance benefits package. This primer will explain your choices, and give you some basic information about the various insurance benefits for which you are eligible.

During W.O.W. we have a limited amount of time set aside to further explain your benefits, answer questions, and complete some necessary paperwork. By familiarizing yourself with this information and completing some of the paperwork ahead of time, you will be better able to take full advantage of the time available during W.O.W. Please thoroughly review the following information BEFORE attending W.O.W. Many new staff members find it helpful to share and discuss this information with their family members ahead of time.

Eligibility

All full-time staff (30 or more hours per week) are eligible to participate in Baylor’s insurance benefits programs.

Effective dates

For most full-time staff, insurance products become effective immediately upon employment.

Eligible dependents

The following are considered eligible dependents for the purposes of Baylor’s insurance plans:

  • An employee’s spouse

  • An employee’s child who is:

    • Under 26 years of age or medically approved disabled prior to 26th birthday.

Enrollment/Change in status

Initial enrollment

New staff have 30 days from the time of employment to enroll in the various insurance products.

Here’s how it works: during W.O.W., you may submit the paperwork to indicate whether or not you want to enroll in any of the insurance products for yourself and/or your family. If you do not submit your paperwork during W.O.W., you have 30 days from date of employment to submit your paperwork to Human Resources. The next opportunity to make changes will be open enrollment.

Open enrollment

After the initial 30 days of employment, staff may make changes to their enrollment decisions only during the “open enrollment” period each year. This is usually at the end of the year with new coverage starting January 1. Dates for open enrollment will be announced each year.

Change in status

Staff may also change enrollment status within 30 days of any of the following events:

  • Marriage or divorce

  • Childbirth or adoption

  • Death of a spouse or child

  • Change of employment of spouse

  • Additional changes may also apply; for a supplemental list please contact Human Resources (Ext. 2000).

Tax information

The university provides an Internal Revenue Service (IRS) Code Section 125 plan to allow eligible premiums and out-of-pocket expenses for medical/dental to be paid with before-tax dollars. In other words, in most cases, you will not be taxed on the money you spend on insurance premiums and expenses. There are a few exceptions which will be pointed out in the description of each product.

Pre-existing conditions

Beginning January 1, 2014, the Affordable Care Act prohibits pre-existing conditions exclusions.
