Microsoft Software for Faculty and Staff

1. What products are covered in the Microsoft Campus Agreement?
Baylor has purchased the right to use these products for one-year: Windows Operating System Upgrade to Windows XP Professional, Vista or 7; Microsoft Office 2007 (for Windows machines); Microsoft Office 2008 for Mac Standard (for Macintosh machines).

2. What are the minimum system requirements to run Windows?
The recommended system requirement for Windows XP are for memory is 512 MB of RAM. The minimum processor is an Intel 1 GHz or compatible with 80 GB of available hard disk space. The recommended system requirement for Windows Vista for memory is 1 GB of RAM. The minimum processor is an Intel 2 GHz Duo Core or compatible with 160 GB of available hard disk space. It in also recommended that you have 128 MB dedicated video.

3. How will they be distributed to faculty and staff?
You are allowed to purchase only one copy of the Windows Operating System upgrade and only one copy of the Microsoft Office products (Windows or Macintosh). The software will be distributed on CDs/DVDs through the Baylor Bookstore as follows: Windows XP Professional for $10.00, Windows Vista starting at $10.00, Windows 7 for $15.00 and Microsoft Office Products starting at $15.00. You will need to produce a Baylor Faculty or Baylor Staff ID card prior to the purchase of the CDs. Please contact the Bookstore at 710-6967 for more information.

4. How many times can the products be copied from the CD?
You can copy Windows or Office suites to only one personal computer.

5. How many copies can I purchase?
You can purchase only one copy of Windows and one copy of an Office suite.

6. Does this include all faculty and staff?
All full-time and part-time faculty and staff employed by Baylor University may participate in this agreement.

7. What if the faculty or staff member has already purchased an older version of Office or Windows under the agreement?
If the faculty or staff member has purchased Windows XP Professional, Windows Vista, Office 2003 Professional or Office for Mac v.X under the Microsoft Campus Agreement then the faculty or staff member is entitled to purchase the most recent upgrades: Windows Vista, Office 2007 or Office 2004 for Mac Standard.

8. What will happen when the faculty or staff members leaves Baylor University?
These licenses are non-perpetual (meaning the faculty or staff member does not own the license). Upon leaving the institution or expiration of the subscription term, faculty or staff are required to remove the software.

9. What happens if I misplace my CD Key?
Our Microsoft Agreement only allows for the CD Key provided with your media disc, and it only allows staff and faculty to purchase only one media disc from the Baylor Bookstore. Baylor does not inventory any replacement CD keys if you misplace or loss your CD Key. If you still have your media disc and have misplaced your CD Key, you can contact Microsoft when you are on the activation page. There should be a toll free number to reach Microsoft, write that number down and call to get a new key. 10. What if my CD Key does not activate my Microsoft Windows Vista or Microsoft Office media disks?
A key invalid message may be given if you have installed the software on a system that has a previous version of the software on it. Microsoft recommends that you uninstall all previous versions of the software then install the new software on the system. Having the previous version of the software on the system will cause the key code to not be recognized as a valid key code, and consequently will not let you use the software. If this does not resolve the issue fill out this form and make sure to list in the "reason" section what you have attempted to do and any other information regarding the situation. If the faculty or staff member has purchased Windows XP Professional, Windows Vista, Office 2003 Professional or Office for Mac v.X under the Microsoft Campus Agreement then the faculty or staff member is entitled to purchase the most recent upgrades: Windows Vista, Office 2007 or Office 2004 for Mac Standard.

8. What will happen when the student graduates?
Perpetual Use Rights is provided for all graduating students, which means that they can continue using the software that is already installed on their computers. The student will need to print the Microsoft Student License Confirmation Form by clicking on the link below. The student will need to providing their name, student ID number and today's date to complete the form.

9. What about students who leave the institution, but does not graduate?
