Faculty and Student Travel

If you are a Baylor faculty or staff member who will be leading a group of students abroad for trip that is not classified as a short-term study abroad program, please follow the steps below. Please submit your application at least 90 days prior to departure.

Please note, Steps 1-3 should be completed concurrently. These three items must be completed before your trip can be approved by the Vice Provost for Global Engagement.

Step 1: Register Your Travel on BearsAbroad

  • Please select International Group Travel. Note: this link is not to be used for Faculty-Led Study Abroad Programs. For these programs, please visit the Faculty page under Study Abroad on the top right of this page.
  • To apply, choose the term, dates of travel, and locations of your trip and Add to Itinerary. Then hit Submit and fill out the questionnaire.

Step 2: Baylor Approval for Your Travel

  • In your application on BearsAbroad there is a Material Submission called International Travel with Students Signature Document. Please complete this form and have it signed by your department chair. The dean’s signature is only necessary if course credit it to be earned during your program.
  • Please send the completed document to the Center for Global Engagement by following the mailing instructions in BearsAbroad.

Step 3: Risk Assessment Form

  • This form is a material submission in your application on BearsAbroad.
  • Follow the instructions on the form to complete it properly.
  • This form should be used to help you plan to mitigate the risks associated with traveling to a particular foreign country.

Step 4: Send Completed Application to the Center for Global Engagement

  • The International Travel Coordinator will inform you of your application status after review.

Step 5: Release Forms

  • Once your application is approved, you will be sent a packet of release forms from the Office of General Council.
  • These forms should be completed by each group member and returned to the International Travel Coordinator in the Center for Global Engagement

Step 6: International Insurance

  • Supplemental international insurance is required for every traveler going abroad on Baylor business or using Baylor funds for their travel.
  • Baylor international travel is covered by a blanket insurance policy.
  • Please fill out this Program/Trip Participant Roster so we can have a record of everyone traveling with your group.
  • Once we receive this roster, we will send you insurance cards for your entire group.

Step 7: Complete All Requirements in BearsAbroad

  • Continue checking your application in BearsAbroad to make sure all requirements have been completed and checked off.
