Student Only Travel

If you are a Baylor student traveling abroad without Baylor faculty or staff, please follow the steps below. All applications for Student Only travel should be submitted to the Center for Global Engagement at least 60 days before departure.

Please note, Steps 1-3 should be completed concurrently. These three items must be completed before your trip can be approved by the Vice Provost for Global Engagement.

Step 1: Register Your Travel on BearsAbroad

  • Student Only Travel Questionnaire
  • To apply, choose the term, dates of travel, and locations of your trip and Add to Itinerary. Then hit Submit and fill out the questionnaire.

Step 2: Baylor Approval for Your Travel

  • Students must have Baylor faculty or staff sponsorship to register. In many cases, course credit signifies Baylor sponsorship. Students must first seek sponsorship and departmental approval before completing the international travel application. If there is a question of sponsorship or the "official" nature of an international program that a student wishes to take independently, please contact the Center for Global Engagement.
  • In your application on BearsAbroad there is a Material Submission called International Travel with Students Signature Document. Please fill this form out and have it signed by your faculty sponsor and department chair. The dean’s signature is only necessary if course credit it to be earned during your travel.
  • If you have questions about this step or do not know who should sign your form, please call the International Travel Coordinator at (254) 710-2618.
  • Please send the completed document to the Center for Global Engagement by following the mailing instructions in BearsAbroad.

Step 3: Risk Assessment Form

  • This form is a material submission in your application on BearsAbroad.
  • Follow the instructions on the form to complete it properly.
  • This form should be used to help you learn about (and plan to mitigate) the risks associated with traveling to a particular foreign country.

Step 4: Send Completed Application to the Center for Global Engagement

  • The application questionnaire will be sent to the Center for Global Engagement automatically after you click Submit.
  • The two material submissions can be scanned and email to the International Travel Coordinator by Clicking Here, by dropping them off at Poage Library, 201-J, or by mailing them to Center for Global Engagement, Baylor University, One Bear Place #97012, Waco, TX 76798
  • Once the Center for Global Engagement has received your completed application, it will be processed and reviewed by the Vice Provost for Global Engagement.
  • The International Travel Coordinator will inform you of your application status after review.

Step 5: Release Forms

  • Once your application is approved, you will be sent a packet of release forms from the Office of General Council.
  • These forms should be filled out, signed, and returned to the International Travel Coordinator in the Center for Global Engagement using the mailing or delivery instructions in Step 4.

Step 6: International Insurance Required for ALL Travelers

  • Supplemental international insurance is required for every traveler going abroad on Baylor business or using Baylor funds for their travel.
  • Baylor international travel is covered by a blanket insurance policy. Once you have completed your travel questionnaire on BearsAbroad, you will be sent your insurance card as a PDF via email.
