HARDWARE REPLACEMENT SCHEDULE
For Budget Planning 2020 - 2021

Category 1 (Primary) Desktop and Notebook Computers
Four-Year Replacement Cycle
  • Level D: Replace in 2020 - 2021
    All computer equipment with an IT ID support tag number starting with "17".
  • Level C: Replace in 2021 - 2022
    All computer equipment with an IT ID support tag number starting with "18".
  • Level B: Replace in 2022 - 2023
    All computer equipment with an IT ID support tag number starting with "19".
  • Level A: Replace in 2023 - 2024
    All desktop and notebook computer equipment with an IT ID support tag number starting with "20". This includes the standard computers being purchased in FY 2020.
Categories 2 - 8 Desktop and Notebook Computers
Five-Year Replacement Cycle
  • Level E: Replace in 2020 - 2021
    All desktop and notebook computer equipment with an IT ID support tag number starting with "16" or lower. This level should not include any Category 1 computers.
  • Level D: Replace in 2021 - 2022
    All computer equipment with an IT ID support tag number starting with "17".
  • Level C: Replace in 2022 - 2023
    All computer equipment with an IT ID support tag number starting with "18".
  • Level B: Replace in 2023 - 2024
    All computer equipment with an IT ID support tag number starting with "19".
  • Level A: Replace in 2024 - 2025
    All desktop and notebook computer equipment with an IT ID support tag number starting with "20". This includes the standard computers being purchased in FY 2020.
Printers Eight-Year Replacement Cycle
Replace all printers with an IT ID support tag starting with "13" or lower.  Please note:  All HP 4700 or older color printers and all HP 4250 or older black and white printers have to be removed from the network due to security vulnerabilities.

Tablet Replacement Cycle
Replace when the unit no longer supports the current iOS system. The Ivanti (formerly LANDesk) reports reflect the support status. Any units with NS will be considered non-supported. Please note that Windows based tablets are considered notebook computers.

Hardware Services Guidelines:
All Baylor standards that are recommended by ITS will be provided full support from ITS repair shop. Spare parts and employee certifications for these products are maintained by ITS. The list of standard equipment is reviewed and updated as needed throughout the fiscal year.

If your department is approved for a non-standard purchase, a warranty will be required if the equipment purchased cannot be serviced by the ITS certified staff. In these situations, department will be required to contact the vendor directly to schedule any maintenance or repair services.
