If necessary, the Heart of Texas Regional History Fair (HOTRHF) has plans in place if participating ISDs or Baylor University close the scheduled day of the fair. We advise that all sponsors, participants, judges, and volunteers pay attention to any communication from the HOTRHF. All sponsors, judges, and volunteers will be notified as soon as a decision is made.
This is an emergency plan only. It will not be implemented unless absolutely necessary.
Plan A: Delayed opening
If participating ISDs or Baylor University delay opening for the day, the HOTRHF will open ONE HOUR later than the schools or Baylor University. For example, if Baylor University opens at 10 am, then the fair will open at 11 am. Exhibit, documentary, and performance entries scheduled times will be delayed by one hour, if possible. Please note there may be changes to the schedule. Sponsors will be notified if any changes to the schedule are made. The Awards Ceremony may be delayed or rescheduled.
Plan B: Early closure
If participating ISDs or Baylor University closes early and prevents the completion of the HOTRHF, judges will attempt to conclude all judging. Alternate judging schedules will be arranged if judging is unable to continue. The Awards Ceremony will be rescheduled, and an alternate date, time, and location will be announced.
Plan C: Reschedule Fair
If participating ISDs or Baylor University close entirely, the HOTRHF may reschedule the fair. The HOTRHF will attempt to arrange alternate judging schedules for closed ISDs if possible. Sponsors, judges, and volunteers will receive immediate notification in this situation.
Alternate date and location will be announced as soon as possible. HOTRHF will make every reasonable attempt to adhere to the previously published schedule of events; however, please note there may be changes to the schedule.
If participating ISDs or Baylor University closes on Thursday but not Friday, optional check-in and set up will not be available.
