Portable Space Heater Approval Process
INTRODUCTION
Due to the risk portable space heaters pose, the University implemented a strict and defined process for requesting, purchasing, and utilizing approved portable space heaters.
Baylor authorized the use of a new specific personal portable space heater upon review and recommendations from University Compliance and Risk Services, Environmental Health and Safety, Facility Management, Public Safety, General Counsel, and Baylor Facility Services.
ASSESSMENT
It is important to note that the appropriate adjustment of the building heating system is the first option to meet the heating needs of occupants. This is accomplished by contacting Baylor Facilities Services (254-710-1361).
A portable space heater may be authorized when a target temperature cannot be maintained for specific health needs or personal comfort.
APPROVED PORTAL HEATER
The following portable heater is the only approved unit that may be used on campus. This unit must be purchased through Ignite (https://ignite.web.baylor.edu/) and its Marketplace function. NOTE: The requestor’s department will absorb the cost of the approved portable space heater.

AGREEMENT/ACKNOWLEDGMENT
The requestor will need approval from the department supervisor to request funding per the requestor’s department.
The Use of Portable Space Heater User Acknowledgment Form must be read and completed in its entirety (initialed, signed/dated, with the correct building/room number). Save as a PDF form. You will need this PDF when you are purchasing the portable heater on Marketplace.
PURCHASE
Log on to Ignite (https://ignite.web.baylor.edu/) and its Marketplace function. As you complete the purchase, attach the completed acknowledgment form as a PDF to the Requisition. User emails the Requisition number and both documents to Fire_Safety@baylor.edu.
INSPECTION
Once the acknowledgment form is received, an assigned ceramic placement tile will be issued to the requestor’s department by Emergency Management and Fire Safety. The heater should only be placed on the ceramic tile and not directly to any floor covering (e.g. carpets, plastic mats, rugs, etc.). The heater, tile, location, and use are subject to routine inspection by Emergency Management and Fire Safety.
REMINDERS:
- The User will ensure that strict safety procedures are always followed, as written, and signed by the User in the Use of Portable Space Heater User Acknowledgment Form.
- If the portable space heater interferes with the building’s heat/cool sensors, the occupant must turn the portable space heater into the department or the Associate Director of Emergency Management and Fire Safety. The occupant will then be issued a panel-style heater free of charge to the department.
- The portable space heater will only be allowed to operate in the assigned room identified in the Use of Portable Space Heater User Acknowledgment Form.
