BearMail Migration

All Baylor email is moving to the cloud!

The migration of all student, faculty and staff email accounts to the Microsoft cloud has been completed. The cloud-based system offers many advantages including a more secure environment, a larger inbox and other features. We are pleased to announce that Baylor will be migrating BearMail accounts to the cloud beginning June 1st.

The migration of BearMail accounts will occur in two phases:
  • Phase 1: BearMail accounts will be migrated to Microsoft cloud-based Outlook 365 (beginning June 1, 2016). Email addresses and passwords will not change during this move.
  • Phase 2: To join all other alumni, email accounts of current BearMail users who are former students will be moved again, this time to the alumni Microsoft cloud-based email system (Fall 2016). Email addresses and passwords will change during this move.
Continue to check your BearMail email account for instructions from ITS as we move closer to this date. No action on your part will be required before Phase 1 begins on June 1.

BearMail Migration

1. What is BearMail?
BearMail is the legacy IMAP/POP email server used prior to 2001. In 2001, Baylor replaced the BearMail server with Microsoft's Exchange/Outlook 365 server. BearMail is still used on a very limited basis, but the server will be retired on June 1, 2016.

2. Does my email reside on a server or on my computer?
You will have to check your settings to determine how your Bearmail account is presently configured. If your account is set up as IMAP, then your email is stored on the server. If your account is set up as POP, it could be on both if the option is checked to leave mail on server.

3. Will I be able to see my email once my account is moved from the BearMail server to the Exchange/Outlook 365 server?
All mail that was previously stored in your Inbox on the BearMail server will be accessible, once connected to Exchange/Outlook 365. Any email stored in sub-folders will not be automatically moved. Because of the complexity of individual configurations, please contact the Help Desk if you need assistance in moving email stored in any of your sub-folders.

4. How do I connect my BearMail account to the Exchange/Outlook 365 server?
You will not see any of your BearMail messages until you "connect" the old BearMail account to your new Outlook account. First, log into your account on the Exchange/Outlook 365 server by going to: https://outlook.office.com. Use your entire email address for your username. Next, follow these instructions to connect your Bearmail account to the Exchange/Outlook 365 server.

5. Can ITS export my email to Exchange/365 for me?
No, because knowledge of the user's password would be required and by ITS policy, this is not allowed.

6. Will I lose my contacts stored in BearMail?
Your Contacts are not stored on the Bearmail server. Due to the complexity of individual account configurations, ITS may be able to assist you in moving your contacts to the Exchange/365 server. Contact the Help Desk if you would like assistance.
