1. What is this service?
Office 365 from Microsoft is a subscription service that provides access to the Microsoft productivity suite of applications (Word, Excel, PowerPoint and others) and file storage through the OneDrive. It is available to students, faculty, and staff of institutions that license Microsoft tools for faculty and staff.
2. How do I start using my subscription?
Access the internet, then go to portal.office.com. Login with your Baylor email address and password as your account. Please check this link for further clarification when installing the Office 365 subscription products.
3. What happens if I already have the Microsoft Office applications installed on my computer?
For Baylor Business Use: ITS recommends that you do not download any Office 365 applications on a university-owned computer. At this time, the university uses Microsoft's Click to Run service. Click to Run keeps the latest version of the Office applications on your computer and automatically updates the applications when necessary. These software applications are included on the installation configuration for all Baylor-owned computers.
For Personal Use: If you have Office 2013 on Windows or Office 2016 on Mac already installed, you do not need to install it again. The Pro Plus version would be a duplicate. If you have an earlier version of the Microsoft products, you may want to install the new version, but it is not required. However, if you do install it, you will then have multiple versions of the applications on your computer. This installation will not overlay your previous installed versions.
4. When I log into the Office 365 portal, I see a lot of icons. May I use these applications?
The Office 365 subscription service includes a wide range of applications and although you are welcome to use them, we do not have a subject-matter expert for each application so you may not be able to get someone from ITS to help with it. For a list of supported software, please click here.
5. How long will I be able to use the software obtained through this subscription offering?
All faculty, staff, and students are eligible to use the full functionality of the working modules of Office 365 while their BearID is current.
-For students, BearIDs remain current until the associated status changes to "former student." This change happens automatically after 12th class day of the term when their student email accounts are scheduled for deletion. -For staff members who do not become official retirees, BearIDs are disabled the evening of their last day of employment.
-For faculty members who do not become official retirees, BearIDs are disabled after an extended period in a similar fashion to email addresses as described here: https://www.baylor.edu/hr/index.php?id=950356.
-Faculty or staff who become official retirees will retain active BearIDs and will have access to Office Online with 1 Terabyte of OneDrive storage, as well as an active Baylor email account. 6. On what devices can I install Office 365?
Microsoft allows the installation of the Office 365 on five personally-owned computers (Windows and/or Mac), as well as five personally-owned tablets and smart phones, using your subscription account.
7. Where do I find the Microsoft Apps on mobile devices?
Search for "Microsoft Office" in the Apple App Store or Google Play Store and install the desired app(s).
8. How do I use the Microsoft Office apps on mobile devices?
Full functionality on mobile devices is similar to that on computers and requires an active Office 365 subscription, regardless of whether the mobile device is personally- or Baylor-owned. After an eligible user leaves Baylor (i.e., BearID is no longer active), the apps will no longer have full functionality but should continue to work in read-only mode.
9. Where do I store my data files created in Office 365 or another application?
Baylor now provides both Box and OneDrive for data storage. Use the Box vs. OneDrive page for guidance on what types of data can be stored in these two systems. Faculty and staff must take particular care with Baylor business data and should understand the different classification levels. See the Data Classification Guideline to understand what these data levels include. At this time, due to greater campus expertise and training, Box currently remains the preferred cloud storage for Baylor business information.

12. How do I store a new document in Box from Office 365 applications?
Unfortunately, at this time this functionality is not available, but we believe it will be available soon. Currently, a document must be first created/stored in Box and then, it can be accessed from Office 365 as noted in 12 above.
