Downloading to Excel

1. I can't download to Excel on TRAX. I have a new computer with the latest version of Internet Explorer.

1. I can't open a new window on TRAX. I have a new computer with the latest version of Internet Explorer.
2. I can't open a new window on TRAX. I am using Mozilla Firefox.

Printing

1. When I try to print, I get an error message that says: Windows Cannot Open this file
2. I'm a Macintosh user and I get the message: "Cannot Connect to REN Server"

Reporting

1. How do I delete a Report Request I no longer need?
2. Why can't I run a report for a new department I just received access to?

Requisitions

1. My Requisition is now "Completed" and I can't pull it up on the system. How can I view my requisition department and account information?
2. Do I have to use TRAX to send my approver an e-mail if I approve my own requisitions?
3. I see people listed in my E-mail Approver list that should not be able to access my requisitions. What should I do?

Downloading to Excel

1. I can't download to Excel on TRAX. I have a new computer with the latest version of Internet Explorer.
You need to tell Internet Explorer to allow you to decide what files to Download. 1) Open Internet Explorer 2) Select Internet Options from the Tools Drop Down Menu 3) Click the Security tab 4) Click the Custom Level button 5) Under Downloads click Enable under Prompt for file download

Pop-up Blockers

1. I can't open a new window on TRAX. I have a new computer with the latest version of Internet Explorer.
You need to tell Internet Explorer to allow "Popups" on the TRAX website. 1) Log on to TRAX 2) Click the New Window link. 3) Internet Explorer creates a tan bar under the address bar. Click on the bar. 4) Select Always allow popups from this site from the drop-down list.

2. I can't open a new window on TRAX. I am using Mozilla Firefox.
You need to tell Firefox to allow "Popups" on the TRAX website. 1) Log on to TRAX. 2) Click the New Window link. 3) Firefox will create a tan bar under the address bar. Click on the "Options" button on the right side of the bar. 4) Select Always allow popups from orasoft.baylor.edu from the drop-down list.

Printing

1. When I try to print, I get an error message that says: Windows Cannot Open this file
Click "Cancel" to get out of the error message. Install Adobe Reader 9.0 so Windows can interpret the PDF File. Go to the link below for directions.

2. I'm a Macintosh user and I get the message: "Cannot Connect to REN Server"
We have not been able to find an immediate solution for this problem. The workaround is as follows: • Click Reporting Tools from the menu, followed by Report Manager • Click the Administration tab • Click the appropriate report • The Print Preview should be displayed • Click the Print button • Click Exit

Reporting

1. How do I delete a Report Request I no longer need?
- Budget -- Add/Update Report Request - Click Search - Select the report request you wish to delete - Delete the department ID's in the Report Request and click save

2. Why can't I run a report for a new department I just received access to?
This is a step that people easily forget because it is a maintenance step you have to do the first time you want to view a report for a particular department. The quickest way to figure out whether or not someone needs to create a new report request for the department is to click on "Add/Update Report Request" under the "Budget" menu in TRAX. From the "Find an existing value" tab, click on "search" and see what comes up. If you don't see anything, then that is the reason you are having trouble with running a report for that department. You will need to create a new report request/request ID that contains the department(s) you wish to see in report format. For instructions on how to create a Report Request, click on the link below:

Requisitions

1. My Requisition is now "Completed" and I can't pull it up on the system. How can I view my requisition department and account information?
Print the Requisition using the following steps: • Requisition • Print Requisition • Enter "1" as your Run Control ID • Click Search • Enter the Requisition ID • Click Run • Set the Server Name to PSNT • Set the Type to Window • Set the Format to PDF • Click OK

2. Do I have to use TRAX to send my approver an e-mail if I approve my own requisitions?
No, just approve the requisition by going to the Requisition Approval Panel in the Requisition Menu

3. I see people listed in my E-mail Approver list that should not be able to access my requisitions. What should I do?
Send an e-mail to TRAX@Baylor.edulisting the people who should or should not able to access your requisition and their access will be removed.

4. How can I use TRAX to send an email to the person who should approve the requisition?
• Enter the requisition in the normal way. • In the Send Approver Email box, click Look up Approver (the magnifying glass beside the Approver field) to display a list of people who can approve your requisition. • Select the Approver from the list (If you don't see the person you need, contact TRAX@baylor.edu.) • Click Email

5. The Approval e-mails go to my Approver's Junk E-mail folder in Outlook
Your approver needs to add BU_TRAX to your Safe Senders list: • Open Outlook • Open the E-mail that was sent to the Junk E-mail folder • Actions • Junk E-mail • Add Sender to Safe Senders list • Click OK

6. How can I see whether or not the email I sent my approver actually went out?
Pull up the requisition in the Requisition Approval Inquiry Page: • Requisition • Requisition Inquiry • Requisition Approval Inquiry • Enter the Requisition ID • Make sure the Requester ID is either correct or blank • Click Search • Click the "i" button beside Approver Email Info The system will list you the e-mails which have been sent.

Sign In / Passwords

1. When I log in I get the following message: Your password has expired.
Click the "Click here to change your password" link.
Enter the Current Password
Enter the New Password
(It must have at least eight characters, one of which must be a number.)
Enter the Confirm password
Click the Change password Button
You should get the following message: "Password Saved: Your password has successfully been changed.
Click "OK"
The system takes you back to the "Change Password" page
Click "Sign Out"
Sign back into TRAX

Vendors

1. Can I Find a Vendor Number without Opening a Requisition or Voucher?
No. Your best bet in finding a vendor is opening a Voucher. - Voucher -- Add / Update Vouchers - Click on the magnifying glass beside the Vendor ID field to search for the Vendor number - Enter the Vendor's name in the Name 1 field - Click Look Up - Click the appropriate vendor - Click on the magnifying glass beside the Address Seqence Number - This will show you a list of the addresses for the vendor. Select the one you want to use - Enter the other fields and click Add If you want to verify the vendor address once you are already in the voucher. - Click on the magnifying glass beside the Vendor ID field - Enter / Find the Vendor number - This will show you a list of the addresses for the vendor. Select the one you want to use. Note: don't save your voucher before exiting.

Vouchers

1. The "Ship to" address on the Voucher defaults to "CENREC". Should I change it?
The "Ship to" field on the Voucher is not currently a field we use.

2. When I try to Budget Check the voucher, the "Budget Checking" option does not appear in the "Action" drop down list.
There are several possible issues: 1) Make sure you have saved your voucher. If your Voucher ID is "Next" then click the Save Button. 2) Make sure the Voucher has not already passed budget check. Review the Budget Checking Status on the Voucher Summary page. Vouchers are automatically budget checked about once an hour by the Accounts Payable office. 3) Contact TRAX@baylor.edu. There is a possiblity your user ID needs to have process groups added in order to process vouchers.

3. I'm having trouble budget-checking my voucher.
Here are the steps to budget check a voucher: Enter the Invoice Header and Invoice Line information Save your voucher Select Budget Checking from the Action drop-down list. (If the Budget Checking option isn't there, either you didn't save your voucher, or it's already been budget checked.) Click Run The Budget Checking window will display. Review the Run Status and click the X button to close the window. Very Important: Click the refresh button (the green "recycling" arrows) where the Run button was. Note: The Refresh button at the bottom of the screen does and entirely different thing. Now you should be able to print your voucher and continue with the process.

4. How can I confirm a vendor's address?
- Voucher -- Add / Update Vouchers - Enter / Find the Vendor number - Click on the magnifying glass beside the Address Seqence Number - This will show you a list of the addresses for the vendor. Select the one you want to use - Enter the other fields and click Add If you want to verify the vendor address once you are already in the voucher. - Click on the magnifying glass beside the Vendor ID field - Enter / Find the Vendor number - This will show you a list of the addresses for the vendor. Select the one you want to use.
