[NOTE: Wait list only permitted for: 1. Major items or 2. Adapters when the patron checks out a laptop and one is not available.]
Once all laptops are checked out, a Waiting List should be started to help manage the needs of patrons. The Waiting List spreadsheet keeps patron requests in sequence. It also helps us to ascertain the equipment needs and traffic within the facility during busy times. If we run out of coasters, the SMS/Email form is the patron's only option.
To start and maintain a laptop waiting list:
As soon as a waiting list is started, the date should be recorded at the top of the waiting list form.
Information that MUST be included when adding a patron to the waiting list:
Name: First and Last
Any one (1) of the following contact methods:
Bear_ID for email notification (preferred)
Cell # and Carrier
[If pager: Check out the pager in Bearcat (check the picture on their ID card!) and give to the patron. Inform patron that pagers have weak zones in Jones, AND that the patron has 15 minutes after they are paged to arrive at the desk or else they forfeit their place in line. A good suggestion you can give patrons is for them to periodically check the status of the waiting list by either calling the TechPoint desk or returning periodically.]
To alert waiting patrons when equipment is returned:
When equipment is returned, page the first/next patron on the list by their requested method.
Either use the Waitlist SMS/Email webformor key in the pager number and hit "Send." The screen should show "Message Transmitting."
If the patron does not return within 15 minutes, notify the next patron on the list.
When a patron arrives after being paged, check the pager back in.
Check out equipment to the patron according to Laptop Checkout Procedures.
Mark through the patron's name with either a highlighter or a single pen line. NEVER scribble out information. Do this as well when a patron brings back an unpaged coaster and requests to be removed from the waiting list. This preserves the statistical data for the library.
Laptop re-checkout note: Patrons may not re-check a laptop if there is a waitlist. They may renew one time, then must return the item(s).
