The Basics: Purchasing Card, Vouchers, Requisitions
In general, how you pay for something at Baylor depends on how much it costs. Here are the basic guidelines:
- Amounts less than $5,000 – The preferred method of payment is the Baylor purchasing card. To find out how to get a purchasing card click here: Receiving a Purchasing card.
There are a some payments that are not allowed on the purchasing card, and some vendors do not take credit cards. So, if for some reason you cannot use the purchasing card, you can use the TRAX voucher process.
- Amounts between $5,000 and $24,999 – For purchases in this range you will need to get written bids from three different vendors and use the TRAX requisition process. Requisitions must be submitted and approved before you make the purchase.
- Amounts $25,000 and over – For purchases in this range you will need to get written bids from three different vendors before you make the purchase and use the TRAX requisition process. Since the amount is large, TRAX will automatically route these requisitions through the budget office for approval before a purchase order can be created.
