Faculty Travel Abroad Procedures

Baylor policy requires all faculty traveling out of the United States for events or trips pertaining to Baylor University to deliver a completed trip portfolio to the Center for International Education (CIE) 10 working days prior to departure.

(Note: These procedures are for faculty/staff only trips. Please refer to Procedures for Program Directors for procedures related to group travel or any travel involving students of Baylor University or visiting students and/or faculty.)

1. The forms below must be submitted 10 working days before going on the trip for approval. Please submit the forms below in the following order:

  • Individual International Travel Form (Once submitting this document you will receive a confirmation e-mail with Emergency Information to Know and Use.),
  • High Risk Travel Waiver ([if required] original).
  • Copy of AHP insurance (purchased under individual enrollment only)

2. All faculty are required to enroll in Academic HealthPlans (AHP) when abroad. Only one option is available for enrollment:

•Individual enrollment - (By enrolling individually proof of enrollment must be submitted with trip portfolio as card will be emailed to individual). Participant MUST purchase AHP insurance via individual enrollment regardless of any insurance provided by the institution visited. Consider turning in your AHP Insurance cost for trip reimbursement to your department along with other trip expenses.

3. A reminder that, if you have not already done so, if driving abroad you must submit, to the Department of Risk Management, a completed/signed “Authorization and Release to Obtain Information” form for driver records check. The form can be obtained at the Department of Risk Management. Driver approvals are good for two years. You may submit the proof of insurance and BU Individual International Travel form via e-mail. If the High Risk Travel Waiver is needed you may drop the waiver off at the Center for International Education on the second floor of Poage Library next door to the Moody Library.
